ABOUT FOLEY FAMILY WINES

Foley Family Wines (FFW) is a premium wine company based in the U.S., known for its rapid growth through acquisitions. With more than 200 distributors and a remote sales team, FFW needed scalable solutions to support its complex receivables processes and back-office operations.

BEFORE FRAXION

Prior to implementing Fraxion, Foley Family Wines faced significant operational challenges due to an influx of acquisitions that exposed inefficiencies in its accounting processes.

Manual workflows, particularly in cash applications and credit memo processing, were overloading the remote sales and customer service teams, resulting in time-consuming and error-prone work. Payments from distributors frequently arrived before credit memos had been processed, creating mismatches that made cash reconciliation difficult.

Distributors submitted deduction requests to the remote sales team, who then marked up the forms manually and submitted them to customer service. This labor-intensive and decentralized method relied on spreadsheets and manual data entry into the accounting system, leading to inefficiencies, delayed processes, and inconsistent results across new acquisitions.

The growing volume of transactions further amplified these challenges, making automation not just beneficial but essential.

Challenges

Foley Family wines struggled with:

Manual receivables processes

Heavy reliance on spreadsheets, email, and manual data entry made accounting and cash application tedious.

High transaction volume

Multiple acquisitions in a short time increased workload, overwhelming the sales and accounting teams.

Mismatched payments and cash application challenges

Payments often arrived before sales credit memos were processed, leading to mismatched payments and invoices.

Scalability issues and inefficient acquisition integration

As FFW acquired more wineries, the lack of standardization increased confusion and operational burden.

Sales team overload

Manual processing responsibilities distracted the sales team from core revenue-driving activities.

Distributor frustrations

Delays and mismatches in applying payments negatively affected relationships with distributors.

Limited visibility

Reconciling payments and credits was slow and difficult without automation.
